5. Workplace Policy.


Solid Ground Janitorial LLC operates as an on-site service provider. All job functions are performed directly at client locations throughout Nashville and the surrounding regions. Employees are required to report punctually to their assigned sites as scheduled and must strictly adhere to all site-specific instructions, security protocols, and company uniform policies.

7. Code of Conduct.


All employees of Solid Ground Janitorial LLC are required to:

  • Arrive promptly for shifts, dressed in the designated company uniform.
  • Conduct themselves with professionalism and maintain a respectful demeanor towards clients, their property, and all co-workers.
  • Utilize appropriate language and uphold professional standards of communication at all times.
  • Strictly adhere to all established cleaning protocols and safety procedures.
  • Refrain from using personal electronic devices while on duty, except when absolutely necessary for work-related communication or in case of emergency.

8. Health & Safety Policy.


We are unwavering in our commitment to maintaining a safe work environment and strictly adhere to all relevant OSHA standards. We provide all employees with necessary Personal Protective Equipment (PPE), including gloves, masks, and eye protection, as required by tasks. All cleaning products utilized are EPA-approved, environmentally responsible where applicable, and handled in strict accordance with manufacturer instructions and safety data sheets (SDS).

In the event of an accident, injury, or potential hazard on-site, it must be reported immediately to the direct supervisor and thoroughly documented. Comprehensive first aid kits are readily available in all company work vehicles.


9. Training & Certification.


All employees must successfully complete mandatory training sessions covering:

  • Standardized cleaning procedures and safe chemical handling.
  • Proper operation, maintenance, and basic troubleshooting of equipment.
  • Client-specific safety and security protocols, including access procedures.
  • Workplace ethics, professional conduct, and sexual harassment prevention.
  • Additional certifications may be required for specific contracts or specialized services.

10. Communication & Contact Policy.


Effective and open communication is vital to our operations. All staff are required to maintain consistent communication through designated channels such as text, email, or company application notifications (if utilized). 

For emergencies, unforeseen schedule changes, or critical issues, employees must contact their operations manager immediately. All official company correspondence is handled exclusively via our designated email: info@solidgroundjanitorial.com. Employees are also required to provide and keep updated their emergency contact information with the company.


11. Attendance and Scheduling.


Reliable and consistent attendance is fundamental to the successful operation of Solid Ground Janitorial LLC and client satisfaction. Repeated tardiness or unexcused missed shifts without proper advance notice will lead to progressive disciplinary action. Any requests for schedule changes must be submitted for approval at least 48 hours in advance, except in verifiable emergencies.


12. Confidentiality.


All employees are strictly required to uphold the privacy of our clients and maintain the utmost confidentiality regarding any sensitive information, data, or observations encountered or overheard during the course of their service. Any violation of client privacy or confidentiality will be considered a serious breach of policy and may lead to immediate termination of employment.


13. Dress Code.


The company uniform, consisting of logoed shirts, dark pants, and closed-toe shoes, must be clean, neat, and worn appropriately during all work shifts. Excessive jewelry, inappropriate attire, or clothing that could pose a safety hazard is strictly prohibited.


14. Customer Service Commitment.


Solid Ground Janitorial LLC is dedicated to ensuring complete client satisfaction. We guarantee the quality of our services. All client inquiries and concerns will be acknowledged and addressed promptly, typically within 24 business hours.


15. Disciplinary Procedures.


Violations of any policies outlined in this manual may result in a range of disciplinary actions, applied fairly and consistently, and thoroughly documented. These may include, but are not limited to:


  • Verbal warning
  • Written warning
  • Suspension from duties
  • Termination of employment


16. Changes to Policy.


Solid Ground Janitorial LLC reserves the unilateral right to review, update, modify, or amend any part of this policy manual at any time, as deemed necessary. This policy manual will undergo a formal review at least annually. Notice of significant changes will be communicated to staff via email or posted on our official company website.
